Even with a good cleaning contract in place, a workplace spends most of its hours unattended by the cleaning team. What happens in those hours decides whether your space feels consistently cared for or only clean first thing in the morning.
None of what follows is a substitute for professional cleaning. It is the small set of everyday habits that protects the work already being done — and it costs nothing.
Deal with spills immediately
A coffee spill wiped in thirty seconds is a non-event. The same spill left for four hours has soaked into carpet backing, and now needs extraction equipment to remove properly — if it comes out at all. Tea, sauces and anything oily are worse.
Keep paper towels and a small spill kit in the pantry and on each floor, and make it normal for whoever caused a spill to blot it right away. Blot, do not rub: rubbing pushes the liquid deeper into the fibres and spreads the stain outward.
Give the pantry actual rules
The pantry generates more complaints than any other part of an office, and it is where hygiene problems start. Three rules cover most of it:
- Wet waste goes in the wet waste bin, lid closed. Food in a dry bin is how you get odour, flies and eventually pests.
- Nothing is left in the sink. A single cup becomes six by the end of the day.
- The fridge gets cleared weekly. Pick a day, put a note on the door, and empty whatever is unlabelled.
Wiping the microwave and counter after use should be the norm rather than a favour. It takes fifteen seconds and prevents the buildup that eventually needs a deep clean.
Adopt a clear-desk habit at end of day
This is the single highest-return habit on the list, and it is not about tidiness for its own sake. A desk covered in papers, cups and cables cannot be dusted or wiped. The cleaning team simply works around it, which means your workstations are never actually being cleaned.
If a surface is covered, it does not get cleaned. Clearing your desk is what lets the cleaning happen at all.

Look after high-touch surfaces
Your keyboard, mouse, phone and desk are touched constantly and cleaned rarely. Keep a pack of surface wipes in the drawer and use one every couple of days — more often if you share equipment or have been unwell.
The same applies to shared items: meeting room remotes, printer touchpanels, coffee machine buttons. A wipe kept beside each shared device gets used far more than one kept in a store cupboard.
Reset meeting rooms as you leave
Chairs pushed in, whiteboard wiped, cups removed, cables coiled. A meeting room reset by the group that used it is ready for the next one. A meeting room left as-is stays that way until the cleaning round, which may be the following morning — and the next group's client sees it.
Do not let clutter accumulate in corridors
Cartons, old equipment, files awaiting a decision. Corridor storage is always temporary and always becomes permanent. It collects dust, obstructs cleaning, and in a fire exit route it is a genuine safety issue. Give such items a designated storage area and a monthly clear-out date.
Ventilate where you can
In Mumbai's humidity, stale air and damp are a constant risk. Where a window can be opened, open it briefly each day. Keep AC vents unobstructed by files or partitions, and report any musty smell early — it usually means moisture somewhere, and moisture problems only get more expensive with time.
Report early, not eventually
A slow leak, a cracked tile, a stained ceiling patch, a single cockroach sighting. These are cheap to fix when reported the same week and expensive when reported after a month. Make it easy — one person, one channel, no form.
Where the line sits
These habits maintain a standard. They do not create one. Floor scrubbing and polishing, carpet and upholstery extraction, facade and high-level glass, washroom deep cleaning, disinfection and pest control all need trained staff, proper machines and the right chemicals.
